AjaxOPS is an operations platform for teams that run complex, multi-site portfolios. This policy explains what we collect, why, how we use and protect it, and the choices you have. It applies to our website at ajaxops.com and the AjaxOPS application at app.ajaxops.com (together, the "Service").
Information you give us. When you request access or contact us, we collect your name, work email, company, number of properties, the systems you run, and anything you write in the message field. If you become a customer, we collect account and billing details needed to provision and invoice your organization.
Customer content. To do its job, AjaxOPS processes the operational material you point it at — documents, drawings, work orders, vendor quotes, emails you route to a dedicated intake address, and the property knowledge you configure. Local files you open through the browser's file-access feature are read into a session for processing and are not stored on our servers. Content you upload or connect to your organization's knowledge base or email intake is stored to provide the Service to you.
Information collected automatically. When you visit the site we collect standard usage and device data (pages viewed, referring URL, approximate location from IP, browser type) through our own first-party analytics, and we record UTM campaign parameters so we can understand which outreach a visitor came from. We do not use third-party advertising trackers.
AjaxOPS runs its intelligence on Anthropic's Claude models via Amazon Bedrock. Content you submit for a given action is sent to that service to be processed and returned. It is used to fulfill your request and is not used to train foundation models. We rely on a small set of vetted subprocessors to run the Service:
We do not sell your personal information, and we do not share it for anyone else's advertising or marketing. We disclose information only to the subprocessors above who help us run the Service, when required by law or valid legal process, to protect the rights and safety of AjaxOPS and others, or in connection with a merger, acquisition, or sale of assets — in which case we will notify you.
We use first-party cookies and browser local storage for essential functions (such as keeping you signed in) and for our own analytics, including remembering the campaign parameters from your first visit. We do not run third-party ad networks. Most browsers let you control or clear cookies in their settings.
We keep access-request and contact information for as long as needed to follow up and for our legitimate business records. Customer content is retained for the life of your subscription and deleted or returned on request after termination, subject to legal retention requirements. You can ask us to delete information sooner (see below).
We protect data in transit and at rest using industry-standard encryption, isolate each organization's data at the database layer, and hold our AI provider credentials server-side so they are never exposed to browsers or other tenants. No system is perfectly secure, but we work continuously to protect your information and are advancing a formal security program.
You may request access to, correction of, or deletion of the personal information we hold about you, and you may object to or ask us to restrict certain processing. Depending on where you live, you may have these rights under laws such as the CCPA or GDPR. To exercise any of them, email ray@ajaxops.com and we will respond within a reasonable time. You can unsubscribe from marketing email at any time using the link in any such message.
Any commercial email we send identifies who it is from, includes our physical mailing address, and offers a one-click way to opt out. We honor unsubscribe requests promptly. Our mailing address is listed under Contact below.
The Service is a business tool intended for use by adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.
AjaxOPS is operated in the United States and your information is processed there. If you access the Service from outside the U.S., you understand your information will be transferred to and processed in the U.S.
We may update this policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, take reasonable steps to notify you.

These Terms of Service ("Terms") govern your access to and use of the AjaxOPS Service. By requesting access, creating an account, or using the Service, you agree to these Terms. If you are agreeing on behalf of an organization, you represent that you are authorized to bind that organization.
AjaxOPS is an intelligent operations layer that sits on top of the systems a customer already runs. It provides a catalog of engineered actions — briefings, work-order triage, vendor follow-up, bid analysis, scope drafting, document retrieval, and related capabilities — together with organization-scoped knowledge and cross-portfolio views. It is not a system of record and does not replace your existing CMMS, PMS, BMS, or other operational systems.
You must provide accurate account information and keep your credentials secure. You are responsible for activity that occurs under your account and for your users' compliance with these Terms. You must be at least 18 and able to form a binding contract.
AjaxOPS is offered on a subscription basis at $800 per property per month for the whole package, unless a separate written order says otherwise. New customers may be offered a 14-day free trial; if a payment method is provided, the subscription converts to paid at the end of the trial unless cancelled first. Portfolio and sales-assisted customers may instead be billed by invoice under an agreed order. Fees are exclusive of taxes. We may change pricing on renewal with reasonable prior notice.
You own your data. As between you and AjaxOPS, you retain all rights to the content you submit or connect ("Customer Data"). You grant us a limited license to host, process, and transmit Customer Data solely to provide and support the Service. You represent that you have the rights and permissions needed to provide the Customer Data and to have it processed as described in the Privacy Policy.
Read this. AjaxOPS uses AI to generate briefings, analyses, drafts, and recommendations. This output can be incomplete or wrong, and it is provided as decision support for a qualified operator — not as professional engineering, legal, financial, medical, or safety advice, and not a substitute for licensed professional judgment or code-required review. AjaxOPS does not operate, command, or control building equipment or life-safety systems. You are responsible for reviewing outputs and for any decision or action you take based on them.
You agree not to misuse the Service, including: uploading content you lack the right to use; attempting to access other tenants' data; probing, scanning, or breaching security; reverse-engineering the platform; using it to build a competing product; or using it for anything unlawful. We may suspend access for conduct that threatens the Service or other customers.
AjaxOPS and its underlying software, prompts, action catalog, and design are owned by us and protected by law. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service during your subscription. If you send us feedback, you grant us a perpetual license to use it to improve the Service.
The Service can work alongside third-party systems and integrations you choose to connect. We are not responsible for those third-party services, and your use of them is governed by their own terms.
Each party may receive non-public information from the other. The receiving party will protect it with reasonable care and use it only to perform under these Terms.
The Service is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that outputs will be accurate or complete.
To the fullest extent permitted by law, neither party is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits or data. Our total liability arising out of or relating to the Service will not exceed the amounts you paid us in the 12 months before the event giving rise to the claim.
You will defend and indemnify AjaxOPS against third-party claims arising from your Customer Data, your use of the Service in violation of these Terms, or your violation of law or the rights of others.
These Terms apply while you use the Service. Either party may terminate a subscription as set out in the applicable order or, absent an order, on reasonable notice. Overdue accounts may be moved to read-only and then suspended before termination. On termination, your right to use the Service ends; we will make Customer Data available for export for a reasonable window and then delete it, subject to legal requirements.
These Terms are governed by the laws of the State of Illinois, without regard to its conflict-of-laws rules, and the state and federal courts located in Illinois will have exclusive jurisdiction, unless a separate signed agreement says otherwise.
We may update these Terms from time to time. For material changes we will take reasonable steps to notify you; continued use of the Service after changes take effect means you accept the updated Terms.
